Set your hours for one-to-ones

Oksana teaches yoga and has free mornings on Tuesdays and Thursdays. Clients keep asking for private sessions, and arranging each one in messages takes longer than the session itself. She sets her hours and her price in Grupy once, and clients book the free times themselves.

Step by step

1. Open Availability.
2. Choose what you teach. Under What I teach, tap the classes you teach. Only these can be booked with you one-to-one.
3. Add your hours. Under When I work, tap Add hours, choose the Day, From and To, and tap Save. Add a row for every day you work; a morning and an evening on one day are two rows.
4. Set your price. Under What I charge, tap Add a price. Choose Which class, fill in On their own and, if you take pairs, Each, in a pair. Leave that one blank if you do not. Tap Save.
5. Let clients book. Clients see your free times and book them — there is no request for you to accept. See Book a one-to-one.
6. Find your bookings. Today’s sessions are on Today under One-to-ones. Any day’s are on the Timetable, under One-to-ones and the date.
7. Mark paid when they pay at the studio. Tap Mark paid on the session. A session paid by card says Paid by itself. A one-to-one counts towards your pay once it is paid — see How your pay is counted.

How the free times are worked out

• Start times go hour by hour from the start of your hours, and again from the end of anything already in your day, as long as the whole session fits before your hours end. How long a session runs comes from the class.
• Anything already in your day is taken out: group classes you teach, one-to-ones already booked and your time off.
• Price: your own price wins. Without one, the studio’s one-to-one price for that class applies, if it has set one. With neither, that class cannot be booked one-to-one with you.

Time off

Under Time off, tap Add time off. Fill in the First day and Last day — or, for a few hours, Only part of the day with Away from and Back at — and Why, in a line. Before you save, Grupy shows what it hits, e.g. 3 classes affected · 12 booked. Tap Save time off.

No one-to-ones are offered in that time. Group classes you would have taught are left without a trainer. If nobody takes them over, they are called off automatically once inside the studio’s notice period, and everybody booked is told. See Change the trainer or call a class off.

Tap a period to change it, or tap Take it back instead to cancel it.

Changing your week

• Tap a row of hours to see Delete these hours: every slot inside them stops being offered. To change the times, delete the row and add new hours.
• Prices work the same way: tap one for Delete this price, then add a new one.
• The owner can also set this up for you from Set up → Team: they tap your name, then Hours, prices and time off. They see the same screen, headed with your name, e.g. When Anna works.
