Build the timetable

Dmytro runs a judo club. From October the adult classes move later and a children's group starts on Saturdays. He wants to prepare the new week unseen, know whose bookings it touches, and start it on the first Monday of the month.

  1. Open Set up → Timetable. Live now is what clients book against. Tap Change the timetable (or Start a draft, if nothing is live yet). You get a Draft: a copy of the live timetable only you can see.
  2. Add a class. Tap Add a class. Choose the Class and the Trainer — you are on the list yourself — then the Day and Starts at. Add another day repeats it on other days; each line becomes its own class.
  3. Set the details. Length in minutes starts at the class’s own Minutes, and follows the class you choose. Places is how many people can book it. Fewest people it runs for is optional — blank uses the class’s own minimum, set on the class in Set up → Classes: when a class is close and fewer have booked, Today shows it as quiet, and a trainer’s pay per class only applies once that many come (see How your pay is counted). Tap Save — Saved to the draft.
  4. Change or remove a class. Tap it in the draft. Remove it is behind More; it only leaves the draft.
  5. Check before you publish. Tap the banner, for example 3 changes waiting. Publish the timetable shows:
    • From when — the first day. It suggests a week from today and cannot be in the past; nothing before it changes.
    • Only for a while — for a summer timetable. Set the Last day, and the timetable you have now comes back the day after, by itself.
    • New, Gone and Moved — every change, with old and new times.
    • Who it affects, such as 4 people are affected: bookings on classes that are gone are cancelled with the session returned; people on moved classes are told the new time.
  6. Publish. The date is in the button: Publish from 6 Oct, or Publish from 1 Jul until 31 Aug for a season. Everybody affected is told.

Changed your mind? Discard the draft, then Discard it. The live timetable is untouched.

Set up → Timetable keeps them all:

  • Draft — Keep editing. One draft at a time.
  • Live now — since when it runs and how many classes a week.
  • Coming up — published, not started; clients already book against it. Withdraw it takes it back: the timetable it replaces runs on, bookings return to their classes, and this one becomes the draft again. A booking for a class only it had is cancelled and the session returned.
  • Earlier timetables — Use this one again opens one as a draft, with the date and who it affects to check first. Delete it works only for a timetable nobody ever booked on.
