Your team: invite trainers, set their pay

Taras opens a boxing gym with two coaches, Roman and Ivan. Roman already uses Grupy at another studio; Ivan has never seen it. Taras wants both of them on the timetable this week, each paid the way they agreed — a fixed amount for a class, plus a little for everybody who turns up.

Step by step

1. Open Set up → Team. On the Studio tab tap Set up, then Team. The row counts your team and any open invitations, e.g. 3 people · 1 invited.
2. Tap Invite somebody. Type Their email and choose What they do: Trainer or Owner.
3. Tap Send the invitation.
   • If that address already has a Grupy account, they join the team at once.
   • If not, Grupy emails them a link and shows it to you as well, under The link. Tap Copy link and send it yourself — in a chat, or in person — if the email does not arrive. Then Done.
4. Wait for the answer. The invitation waits under Waiting for an answer: The link works until …, seven days from sending. They open it, sign in with the address you invited and accept. To send a fresh link, invite the same address again; the old link stops working.
5. Set their pay. Tap the person in the list. Under Group classes fill in A class, A person and Share, %; under One-to-one, A session, A person and Share, %. Leave 0 where a part does not apply, and tap Save. The list sums it up, e.g. 300 a class · 50 a person. How the parts add up, with an example: How your pay is counted.
6. Check what clients see. In the same sheet, Name shown to clients and About them appear on your studio page under the trainer. Hours, prices and time off opens their one-to-one hours and prices, and their time off, headed with their name — When Anna works, What Anna charges, What Anna teaches.

When somebody leaves

• Open them, tap More, then Stand them down. They stop being offered on the timetable; everything they taught stays on the books. Keep it changes nothing.
• They move to No longer working here. Tap them, then Bring Ivan back (with their name), and they return with their pay, hours and history as they left them.
• An owner cannot be stood down from this screen.

Good to know

• There are two roles. A Trainer works from Today, Timetable, Availability and Earnings. An Owner has People and Money instead, and Set up on the Studio tab — choose it only for somebody you trust with all of that.
• Pay for a class is saved when its register is closed. Money → Reports → Trainers shows what everybody taught and earned, with a Payslip (CSV) for each person — see Reports.
